Tips to Prepare To Do List:

Today I will share some tips to prepare an effective to-do list to perform your day-to-day tasks according to priority:

  • In the first step take some time to gather all daily tasks to arrange them in to-do lists. Check appointment cards and calendars to see if you have marked anything to organize them in your to-do list.
  • Create six separate sections and devote a name to each section such as “yesterday, this week, this month, this quarter, this year, and when I get to it”. These all will serve as your headings and you will write all to-do items under these categories.
  • Now start writing different tasks under each heading on a single piece of paper. Make sure to write the completion date next to each item in the list.
  • Prepare six file folders and label each with each category name and put all related items in each folder. Your one year task list is ready.
  • Now take a whiteboard and write your one-week items here. If you are responsible for doing multiple tasks each day then mark these items for your convenience. Place the whiteboard in the most viewable place so that you can check your routine tasks regularly.
  • Place all file folders with the symmetry of “This Month, This Quarter, This Year and When I Get to It” and place the file in a desktop organizer. Do not forget to review your lists to get an idea of what you are going to do next. Keep updating your lists frequently to keep yourself more organized.
  • Mark every completed task off of your list after completing it to keep your lists updated and motivate yourself to do more to get more.
  • If you have any special tasks that should be completed on an early basis then make sure to keep them on top of your to-do list. You can make special marks as a reminder that these are urgent tasks. If you find that your next task is more urgent than a task in your hand then it is better to switch the task to do more prioritized work at first.
  • Tell your personal assistant about your to-do lists so that he/she can remind you of the right time that you have to do this work on first priority.
